VoltCRM ("VoltCRM", "we", "us", or "our"), a product of AppNerds, provides a customer-relationship
management (CRM) platform and AI-assisted messaging tools. This Privacy Policy explains what information
we collect, how we use and share it, and the choices you have. By using VoltCRM you agree to this Policy.
1. Who this Policy covers
This Policy applies to (a) our customers — the businesses and their authorized users who use VoltCRM
("Customers"), and (b) the individuals whose contact and communication data our Customers manage in the
platform ("Contacts"). For Contact data, our Customers are the data controller and VoltCRM acts as a
processor on their behalf.
2. Information we collect
- Account information. Name, business name, email address, phone number, and
authentication details when a Customer creates an account.
- Customer & Contact records. Information our Customers enter or import — such as a
Contact's name, phone number, email, service address, and account/enrollment details.
- Communications. The content and metadata of messages sent or received through the
platform across SMS, WhatsApp, web chat, email, and voice channels, including timestamps and delivery status.
- Usage & device data. Log data, IP address, browser type, and how the platform is used,
collected to operate and secure the service.
- Cookies. We use strictly-necessary cookies to keep you signed in and to run the app.
We do not use advertising cookies.
2a. The VoltCRM mobile app
Our iOS and Android apps ask for a small number of device permissions, each used only for the
feature it names and none of them for advertising or profiling:
- Microphone. Used only while you are on a call placed or received in the app.
Audio is carried to our telephony provider to connect the call. The app does not record audio in
the background and does not listen when you are not on a call.
- Notifications. Used to alert you to an incoming call, a new message, or a
reminder. Push notifications are delivered through Apple and Google and, for calls, through our
telephony provider. Message content is deliberately left out of the notification itself — it stays
in the app.
- Phone account and call management. On Android the app registers its own calls
with the operating system so an incoming business call can ring, appear on the lock screen, and
behave correctly alongside your carrier calls. Registering in this way requires Android's phone
permission, which the system checks when the account is created. The app does not read your call
log, and does not place, answer, or manage calls on your personal carrier line.
- Camera, photos and files. Used only when you choose to attach something to a
message you are sending.
- Bluetooth. Used only to route call audio to a connected headset or car kit.
The app stores your sign-in session on the device using the platform's secure storage (iOS Keychain,
Android Keystore). Signing out removes it. The app does not collect device identifiers for
advertising.
3. How we use information
- To provide, maintain, and secure the CRM and messaging services.
- To send and receive messages on our Customers' behalf across their connected channels.
- To generate AI-assisted replies: message content may be processed by our AI provider
to draft and send responses on the Customer's behalf.
- To provide support, prevent abuse and fraud, and comply with legal obligations.
4. Messaging, consent & opt-out
VoltCRM's Customers are responsible for obtaining the consent required to message their Contacts and for
complying with applicable laws and carrier/platform rules (including A2P/10DLC for SMS and the WhatsApp
Business Platform policies). Contacts may opt out of SMS at any time by replying STOP, and
may stop WhatsApp messages by messaging the business or using in-app controls. We honor opt-outs and record
consent status on the Contact's record.
5. How we share information
We do not sell personal information. We share it only as needed to run the service:
- Service providers that power the platform — for example messaging and telephony
providers (such as Telnyx and Meta/WhatsApp), cloud hosting and database (Supabase), AI processing
(Anthropic), and payment processing (Stripe) — each solely to perform services for us.
- At our Customers' direction, with integrations they connect.
- For legal reasons, to comply with law or protect rights, safety, and security.
- Business transfers, in connection with a merger, acquisition, or sale of assets.
6. Data retention & deletion
We retain information for as long as an account is active or as needed to provide the service and meet
legal obligations, then delete or anonymize it. Customers can delete Contact records within the platform.
To request deletion of your data, contact us at the address below and we will respond within a reasonable time.
7. Security
We use industry-standard safeguards — including encryption in transit, access controls, and tenant
isolation — to protect information. No method of transmission or storage is 100% secure, but we work to
protect your data and to promptly address any incident.
8. Your rights & choices
Depending on your location, you may have rights to access, correct, delete, or port your personal
information, or to object to certain processing. Contacts should direct such requests to the Customer that
manages their data; we will assist that Customer as required. You can reach us using the contact details below.
9. Children
VoltCRM is a business tool not directed to children and is not intended for anyone under 18.
10. Changes to this Policy
We may update this Policy from time to time. Material changes will be reflected by updating the "Last
updated" date above and, where appropriate, by additional notice.
